2. The n8n Workflow

[Webhook: new appointment] → [Google Sheets: read rows] → [Filter: appointments tomorrow] → [Delay: 24h] → [WhatsApp Business: send message]

Setup details:

Webhook node: receives a webhook from your system when a new appointment is added. Or you trigger the workflow manually each morning.
Filter node: selects only clients with appointments in the next 24 hours.
Delay node: waits until the optimal send time (recommended: 10:00 or 15:00, not during peak hours).
WhatsApp Business API node: sends a message in this format:

Hi [name], reminder: you have an appointment with us tomorrow at [time].
To cancel or reschedule: click here [link]
Or call us: [clinic phone number]

3. Important Tips

Cancellation/reschedule link: add a link to a simple form (Google Forms or a static HTML page) where the client can change their appointment. This reduces last-minute cancellations.
Send times: send between 10:00 and 16:00 — hours with the highest open rates.
Message template: WhatsApp requires approval for message templates. Set up one fixed template with variables.
Tracking: keep a copy of every sent message in a separate sheet ("Messages Sent") for monitoring.
